Strategy, Governance & Capacity Building

Volunteer Program Development & Engagement Services

Build a volunteer program that supports both the people and the mission.

Volunteers are among an organization’s greatest assets. They bring valuable time, knowledge, energy, experience, and community connections to the work. When volunteers understand why their contributions matter, what is expected of them, and how they will be supported, they are better prepared to participate meaningfully and remain connected to the mission.

KYNU helps organizations build or strengthen volunteer programs that reflect their mission, needs, and available capacity. Together, we identify where volunteers can contribute to the work, clarify how the organization can prepare and support them, and develop a program structure that reflects the organization’s mission, operations, available capacity, and goals for volunteer engagement.

Is This Service Right for Your Organization?

When Volunteer Program Development & Engagement May Be the Right Fit

Volunteers are better positioned to contribute and remain connected when they receive clear direction, meaningful opportunities, and consistent support. Volunteer program development and engagement services may be helpful when:

  • The organization relies on volunteers, but the program has developed informally and would benefit from greater structure.
  • Volunteer roles, responsibilities, expectations, or reporting relationships need greater clarity.
  • The organization wants to recruit volunteers whose interests, availability, and skills align with meaningful opportunities.
  • New or existing volunteers need stronger orientation, training, tools, or ongoing guidance.
  • Communication, engagement, recognition, and follow-through with volunteers could be more consistent.
  • The organization wants to strengthen volunteer retention, expand volunteer involvement, or prepare volunteers to support new programs and priorities.

This service may be appropriate for nonprofits, faith-based organizations, foundations, associations, municipalities and public-sector organizations, community-based organizations, and other purpose-driven organizations seeking to build or strengthen an effective, well-supported volunteer program.

How KYNU Can Help

From Volunteer Interest
to Purposeful Participation

KYNU begins by understanding how volunteers currently contribute and what the organization wants its volunteer program to accomplish. Together, we identify where volunteers can contribute to the work, clarify how the organization can prepare and support them, and develop a program structure that reflects the organization’s mission, operations, available capacity, and goals for volunteer engagement.

Define Volunteer Needs and Roles

Identify where volunteers can make a valuable contribution and clarify the roles, responsibilities, expectations, time commitments, and points of contact connected to each opportunity.

Strengthen Recruitment and Preparation

Develop approaches for reaching potential volunteers, communicating available opportunities, welcoming new participants, and providing the orientation, training, information, and tools needed to begin serving.

Support Engagement and Retention

Establish practical approaches for communication, guidance, recognition, feedback, problem-solving, and follow-through that help volunteers remain informed, supported, and connected to the mission.

What the Service May Include

Practical Support for Building
a Stronger Volunteer Program

Volunteer program development and engagement support is shaped around the organization’s mission, operations, volunteer opportunities, available capacity, and goals for involving and supporting volunteers. Depending on the organization’s needs, the service may include:

  • Volunteer Program Review and Planning. Review how volunteers currently participate, identify strengths and areas requiring attention, clarify what the organization wants the volunteer program to accomplish, and establish priorities for strengthening the program.
  • Volunteer Roles and Position Descriptions. Identify appropriate volunteer opportunities and develop clear descriptions of the responsibilities, expectations, time commitments, supervision, qualifications, and who volunteers will work with or report to in each role.
  • Volunteer Recruitment and Outreach. Develop approaches for reaching potential volunteers, communicating available opportunities, and connecting volunteer interests, skills, and availability with the organization’s needs.
  • Application, Selection, and Placement Processes. Establish consistent steps for receiving volunteer interest, reviewing applications, completing appropriate screening or selection activities, and matching volunteers with roles that align with their skills, interests, availability, and the organization’s needs.
  • Orientation, Training, and Ongoing Support. Develop orientation materials, training approaches, guidance, tools, and communication practices that help volunteers understand the organization, their responsibilities, and where to turn when they need assistance.
  • Volunteer Engagement, Recognition, and Retention. Strengthen communication, feedback, recognition, relationship-building, problem-solving, and follow-through practices that help volunteers feel valued, supported, and connected to the mission.

The Value of Volunteer Program Development

Supported Volunteers
Stronger Programs

A strong volunteer program does more than organize people and tasks. It helps volunteers understand how they contribute, prepares them to serve, provides the support needed along the way, and creates an experience that encourages continued connection to the mission.

01

Clear Roles

Help volunteers understand their responsibilities, expectations, time commitments, points of contact, and how their service contributes to the organization’s work.

02

Better Preparation

Provide the orientation, training, information, and tools volunteers need to begin their roles with greater clarity and confidence.

03

Stronger Connections

Use consistent communication, guidance, feedback, and relationship-building to help volunteers remain informed, supported, and connected.

04

Show Appreciation

Recognize the time, knowledge, skills, energy, and commitment volunteers contribute to the organization and its mission.

05

Continued Engagement

Create a positive and supportive volunteer experience that encourages people to remain involved, deepen their connection, and continue contributing over time.

The KYNU Volunteer Program Development & Engagement Process

From Initial Conversation
to a Stronger Volunteer Program

Each service begins with understanding how volunteers currently contribute and what the organization wants its volunteer program to accomplish. KYNU then develops an approach around the agreed goals, volunteer opportunities, program needs, participants, responsibilities, timing, available capacity, and deliverables.

01

Define the Program Goals and Volunteer Needs

Discuss the organization’s mission, work, current volunteer involvement, areas where volunteers may contribute, available capacity, and the results the organization wants the volunteer program to support.

02

Review Current Practices and Identify Priorities

Review existing volunteer roles, materials, policies, recruitment activities, orientation and training, communication, engagement, and retention practices, then identify what should be developed, clarified, or strengthened.

03

Develop the Program Structure and Tools

Develop the agreed volunteer roles, position descriptions, recruitment and placement processes, orientation and training resources, communication practices, engagement approaches, recognition methods, and implementation steps needed to move the program forward.

Clear Expectations

Clear Expectations Support
Effective Volunteer Program Development

Clear expectations help KYNU and your organization work together effectively throughout the volunteer program development process.

  • A Defined Focus. The agreed service identifies the volunteer program goals, roles, processes, materials, participants, responsibilities, timing, deliverables, and the support KYNU will provide.
  • Information and Coordination. The organization may need to provide current volunteer role descriptions, policies, forms, training and orientation materials, and other organizational information needed to understand the program. It may also need to coordinate participation from the agreed leaders, staff members, volunteers, or other participants included in the process.
  • Active Participation and Follow-Through. Leaders, staff members, board members, volunteers, or other participants may need to share perspectives, review materials, make decisions, provide feedback, coordinate internally, and complete agreed responsibilities.
  • Practical Pacing and Program Responsibility. The timing and pace of the work may depend on access to information, participant availability, decision-making, feedback, and the organization’s ability to complete agreed next steps. The organization remains responsible for selecting, screening, placing, supervising, and managing its volunteers. If implementation or ongoing support is needed beyond the agreed service, KYNU will discuss it with the organization before additional support is provided.
